Fencing software
for the club that rents the mask and bills the month
A fencing club bills a month of classes, rents the starter kit until the family buys, and sells the private lesson before practice. Cadence runs all three on one ledger and two parents' cards.
Last night at your club
Ada's rented mask went home for the last time
The family bought their own and the rental line ended itself
A beginner foil spot opened when the Tice family moved
The list filled it before the desk unlocked in the morning
Coach Karl's Thursday cleared for a work trip
Vera claimed both classes from her phone by 10:15
A broken body cord at 6:40 became a shop line
Scanned to the Marsh account, on next month's invoice
Tuition, the rented kit, and the private, one bill
Nobody misprices a month of classes. The rental that should have ended, the private squeezed in before practice, the snapped cord at the shop, those wander, and Cadence pins each to the right card.
One fencer, two cards, zero arguments
Most systems attach the money to one household account. Cadence attaches it to each child's enrollment instead, so the adults who pay for her can be billed separately. Each parent gets their own invoice for their own share, pays with their own card, and does not need the other one’s login.
- ✓Tuition splits by percentage while the kit rental rides one card
- ✓A sponsor's card is scoped to exactly what it agreed to
- ✓The snapped-cord charge posts to the share that owns gear
- ✓Each login shows its own balance and only its own
Declines get handled while the club sleeps
When a payment fails overnight, Cadence tries the backup card on file. If the other parent has agreed to cover a missed payment, their card is next in line. Everyone is told what happened before the doors open.
- ✓A failed draft is marked failed that night, not provisionally fine
- ✓Whatever fee your terms name is the fee that appears
- ✓The desk learns about the bounce before the family walks in
The September step is school flyers landing; the club holds through summer because the team trains year round.
Is the beginner class feeding the team?
Answered on the screen, not rebuilt in a spreadsheet every quarter.
- ✓This month against the same month last year, so seasonality doesn’t fool you
- ✓Intro Saturday families that enrolled, as a plain percentage
- ✓“Email me revenue every Monday at 8 a.m.” and it just shows up
- ✓Ask in plain English: “who dropped after their first month this year?”
The month, group by group
Beginner foil through the competitive team, six groups on the month.
Demo figures, not a real club.
Openings fill themselves, transfers price themselves
The desk found out after it was over
The Tice family moved away in October, which at most clubs means calls, a paper list, a month of an empty spot. Here the vacancy offered itself down the beginner foil list overnight, a deadline expired once, the second family claimed it, and the desk read about it at opening.
- ✓Offers move down the list by deadline, unattended
- ✓Payment and waiver finish inside the claim
- ✓The roster count healed before opening
A transfer is a rule, not a favor
Moving from Tuesday foil to Thursday epee mid-month is priced by the policy the club wrote: the fee difference prorates from the switch date, the makeup allowance carries over, and the invoice explains itself. Missed classes follow the same written policy, whichever version of it you run.
- ✓The policy prices it, the desk just approves it
- ✓Carried makeups survive the move
- ✓The invoice shows its arithmetic
Her first open, without the folding-table chaos
A fencer's first open event is a bundle of small decisions and small fees. The club packages it once, and every family after that signs up in five minutes.
The first-open package, one signup
The club built a first-open package and reuses it every season: event registration, the coaching day fee, a gear check with a spare cord, the team warm-up. A family taps once, reads the four lines, and pays its own split of the one figure.
- ✓Built once, reused every season
- ✓Families pay their split of one figure
- ✓The package updates everyone when a line changes
Camps that do their own paperwork
The winter footwork camp, an intro Saturday, and a parents' rules night each carry everything a family needs to commit, cost, capacity, waiver, schedule, on one page. Signups close themselves at the cap, money clears up front, and nobody at the club prints anything.
- ✓The cap closes signup, not an email
- ✓Paid at signup, refunded by policy
- ✓Intro visitors stay free on your pricing
Two classes, claimed from a phone
When a coach's Thursday falls through, both his classes go up as offers to whoever is cleared for them. The first yes takes each one.
Karl's Thursday, gone by 10:15
Karl posts a work trip on Monday and his Thursday splits into two offers, beginner foil and youth epee, each visible only to coaches cleared and free for it. Vera takes both from her phone at 10:15, and forty families' apps quietly swap the coach's name.
- ✓Each class is its own offer with its own takers
- ✓Cleared-and-free is the whole audience
- ✓Apps update families without a single call
Coach rate, armory rate, one honest week
Ollie coaches sabre on Tuesdays and repairs weapons on Saturdays, and his clock-ins land against each role at that role's rate. The week reconciles itself against what he was scheduled to hold, a stray hour asks for a reason, and payroll opens to arithmetic already done.
- ✓Two roles, two rates, one person, no spreadsheet
- ✓Hours land on the shift that owns them
- ✓Payroll reads a week that adds up already
The club in two pockets
Lena watches the bill, Ada watches her Thursday, Vera runs her roster. One download, three different screens.
Parents and fencers
The month, the kit, and the calendar, one glance.
- ✓Tuition, the kit rental, and both parents' shares
- ✓Class times and private lessons on one calendar
- ✓The waitlist position, watched from home
- ✓Waivers signed on the phone, in the family's language
- ✓The armory charge shows up before the bill does
The roster holds on the phone until signal shows
Coaches and the desk
Rosters, attendance, offers, and the clock.
- ✓Tonight's classes with rosters attached
- ✓Hours clock against tonight's class, at its rate
- ✓Coverage offers land when a coach posts out
- ✓Progress notes typed while the bout is fresh
The snapped cord and the standing private
Broken at 6:40, billed with November
A body cord fails mid-drill and the fix takes a minute: the desk scans a replacement from the cabinet to the Marsh account, it lands on next month's invoice beside tuition, and the cabinet count drops by one. Card sales and the snack drawer ring through the same ledger.
- ✓Every sale path ends on the same ledger
- ✓Gear charges follow the household's split
- ✓The cabinet knows what it holds
The 5:15 private either exists or it doesn't
A private lesson has three moving parts, the coach's 5:15, the fencer, and a strip, and Cadence will not write it down unless all three are actually free. Families grab one-offs or hold a weekly slot themselves, and the club bills per lesson or monthly, its call.
- ✓Coach, fencer, strip, one reservation
- ✓Standing slots renew themselves
- ✓Refusals happen at booking, not at the door
Polish for one family, kept everywhere
Each account picks its language once, and Cadence honors the pick on every screen, invoice, and reminder afterward.
She signed the version she could read
Cadence translates its own screens and buttons, but not your waivers and forms. That is why Cadence has a multi-lingual form generator, so you can create your waivers in any language you need, because a parent who signs a document she couldn’t read is a document you may not be able to enforce.
- ✓She signs the Polish waiver you created, not one a computer produced
- ✓Medical forms and photo permissions work the same way
- ✓Your terms of service stay in English, which is how they stay enforceable
The setting survives every screen
The mom reads the kit-rental line in Polish. The desk volunteer reads the same account in English. Same club, same ledger, two readers, and each one gets every notice in the language their account carries.
- ✓Every notice you send arrives in the reader’s language, from one message you wrote once
- ✓Right to left languages are laid out properly, not bolted on
- ✓The language lives on the account, so the desk speaks it first
Cadence has the languages clubs actually need. Nineteen and counting at launch.
Intro Saturdays that turn into Novembers
Every intro Saturday leaves a list of families holding a borrowed foil and a decision. The follow-up goes out without anyone remembering to send it.
Unsubscribe silences ads, not invoices
A dad who mutes the newsletter still gets invoices, schedule changes, and event deadlines. The two kinds of mail ride separate rails.
Worth checking: when one switch controls both, the family finds out at the late fee.Saturday's guests hear back on Wednesday
Intro families get one follow-up with the beginner schedule and the kit-rental math, written once, sent on its own.
Lists come from the roster, live
Message every rental family, every competitive parent, or everyone whose intro was last month, without exporting anything.
The first tournament is worth a note
A fencer's first open, a level move, a year at the club, each can trigger the message the club wrote one time.
Ask for the review after a good night
The link goes out after a first-open weekend or a promotion, not after a fee reminder.
Rules night fills itself
Free parent events post a page, take signups, and remind attendees, which quietly builds the list that intro Saturdays draw from.
