For ninja and obstacle training gyms

Ninja gym software
for classes, open gym and leagues

Half your revenue is Tuesday classes and the other half is open gym, punch passes, and a Saturday the whole building is bought out for a birthday. Cadence runs both halves in one system, so the class kid, the pass kid, and the party all land in the same books.

Classes + passes tuition and draw-downs, one ledger
League fees on their own invoice all season
Whole-gym buyouts booked without blocking by hand
Two households two invoices, one ninja
No per-athlete fees your price is your price

Last night at your gym

Midnight autopay, dead card

The backup card had it settled before the first class

Hollis tapped out an hour before doors

Ndour had the class before the parking lot filled

A birthday wanted the whole building Saturday

The buyout blocked every course and class in one booking

A punch pass ran out mid-open-gym

Its renewal invoice was waiting before the kid left the floor

The money side

Class tuition and punch passes in the same ledger

A ninja gym bills three ways at once: monthly class tuition, passes that draw down, and one-off buyouts. Cadence keeps all three straight, including the family doing all three in the same month.

Two households, one ninja

Mom carries class tuition, dad covers league fees, or everything splits by percentage. Set it once on the athlete and every invoice after that follows the arrangement, including the odd open-gym pass bought at the desk.

  • Percent, dollar amount, or by fee type, set per athlete
  • League fees can route to one payer while tuition splits
  • Each payer sees only their own invoice and history
  • Change the split once, every future invoice follows

Declines retried before Saturday open gym

A card fails overnight and the backup card on file, added with consent, covers it before the gym opens. No backup, and the retry schedule runs with a plain notice to the family, while the desk sees exactly where each account stands.

  • Backup card asked for consent first, used only on a decline
  • Retry schedule runs without the desk chasing anyone
  • The family gets a plain notice, not a shame email

Knowing your numbers

Which nights actually carry the gym

Answered on the screen, not rebuilt in a spreadsheet every quarter.

  • This month against the same month last year, so seasonality doesn’t fool you
  • Which open-gym visitors convert to enrolled classes, as a rate
  • “Email me revenue every Monday at 8 a.m.” and it just shows up
  • Ask in plain English: “who dropped after their first month this year?”

Tuition by program, Minis through the team

Every program the gym runs, what each one charges, and what Minis through the competitive team adds up to in a month.

Classes and enrollment

Full classes, moving waitlists, testing day on one grid

The 6:00 refills before bedtime

When a family drops the Tuesday 6:00, the opening goes straight to the top of the waitlist with a claim window on it, and the app shows every waiting family exactly where they stand while it runs. Nobody works a phone list, and the class walks in full next week.

  • The opening finds its own family, oldest request first
  • Where you stand in line is on the app, not a mystery
  • An ignored offer moves on by itself

Testing day on one screen

Level testing used to mean a clipboard per kid. Now the whole roster sits in one grid: mark the rope climb across every ninja in the class, move to the next obstacle, done. Parents see results at home that night, and level-ups send their own congratulations.

  • One grid, the whole roster, obstacle by obstacle
  • Results reach parents the same night

League season without the sign-up chaos

League registration, entry fees, and travel, priced per season and collected on their own invoice instead of buried in tuition.

What a league season costs, before you sell it

Entry fees, coach travel, and the season shirt, priced per team before registration opens. The estimator does the adding, so the number announced at the parent meeting is the number that holds through finals.

  • Priced per team, split per athlete, before registration opens
  • Collected on its own invoice, kept out of tuition
  • A refund ladder set before the first fee goes out

Open gym and passes that count themselves

Friday open gym runs on punch passes and day passes sold at the door. Passes draw down as visits happen, a pass at zero offers its own renewal, and the desk sees the night’s headcount without a tally sheet taped to the counter.

  • A pass at zero offers its own renewal
  • Door headcount lives on the screen, not a clipboard

Coaches and coverage

A course with no coach, solved from a phone

Courses need spotters and classes need coaches, a lot of them teenagers. When someone calls off an hour before doors, the night either survives in minutes or the front desk teaches Warped Wall.

One hour to doors, one coach short

An hour before the Tuesday block, Hollis is out. The board hands whoever runs the night two real answers instead of a contact list: Ndour, certified and inside his cap, or a two-move swap where Corwin picks up Minis and Petrov spots the competitive team's course work.

  • The night's owner hears the minute the coach taps out
  • Certs and hour caps are checked before a name is suggested
  • One send notifies the cover, the desk, and the class

Spotters with bedtimes, handled by the clock

Teenage spotters carry state rules onto the schedule, and Cadence keeps each one's school-night cutoff and weekly cap on the profile where the clock can read them. Reaching a limit locks the punch and prints the reason, so the rule enforces itself with nobody standing guard at the desk.

  • Every under-18 profile carries its state's limits
  • The locked punch shows which rule locked it
  • Next week's tight days are visible this week

The whole gym, rented without chaos

A Saturday buyout blocks the entire building the moment it books: no class scheduled over it, no open gym sold into it, deposit taken up front. Lanes and zones rent the same way for smaller groups, and families can book the slots you choose to open.

  • A buyout blocks everything else the moment it books
  • Zones and lanes rent one-off or as a recurring series
  • Deposits taken up front, refund rules set in advance

Languages

The dad who reads Arabic gets Arabic

Not a translate button on the website. The actual product, in the language each person reads, one family at a time.

A waiver he can actually read

Cadence translates its own screens and buttons, but not your waivers and forms. That is why Cadence has a multi-lingual form generator, so you can create your waivers in any language you need, because a parent who signs a document he cannot read has not really consented to anything.

  • He signs the Arabic waiver you created, not one a computer produced
  • Medical forms and photo permissions work the same way
  • Your terms of service stay in English, which is how they stay enforceable

Set per person, not per gym

One dad reads his invoice in Arabic. The mom at the next bench reads hers in English. A coach runs his admin screens in Filipino. Same gym, same night, nobody compromises. Invoices, reminders, and the app all follow whatever each person picked.

  • Every notice you send arrives in the reader’s language, from one message you wrote once
  • Right to left languages are laid out properly, not bolted on
  • Your front desk sees which language a family reads before they pick up the phone

Cadence has the languages gyms actually need. Nineteen and counting at launch.

Filling the gym

Marketing that fills Tuesday, not just Saturday

Birthday parties fill themselves. The Tuesday 6:00 class is the one that needs a reminder ladder, a re-enrollment push, and a message in each family’s language.

Opting out doesn’t break billing

A parent who unsubscribes from the newsletter still gets invoices, closure notices, and league-day updates. Marketing consent and business messages ride separate lanes, the way the law expects.

📅

Reminder ladders that run themselves

League registration gets a countdown written once: three weeks out, one week, the night before. It fires next season untouched, and any send stays editable until it goes.

🎜

One message, every channel

A schedule change goes out once and lands as email, text, or app notification, whichever each family actually reads. One list, maintained by nobody.

🌐

Every family in their language

The fall class push reads in the language each household picked. One send from the desk, nineteen possible languages on the other end.

📈

Know what filled the class

Which message drove Tuesday sign-ups, opened, clicked, enrolled, tracked from send to roster instead of argued about later.

📢

Alerts that reach who can act

The gym closes for weather and the alert hits every family with a visit today and every coach on the schedule, from one action.

Switching over

Switching without losing a season of history

Your families, passes, balances, and history come with you. Do it yourself with our tools, or hand it to us and we’ll do it for you.

🔄

Do it yourself, or let us

A step-by-step importer with plain instructions if you want your hands on it. Or send the export and we’ll move the whole gym for you, families, passes, balances and history.

👥

Families arrive intact

Households, sibling links, and split-billing arrangements come through as families, not a flat list of names you re-connect by hand.

💳

Balances land to the penny

Open balances, pass credits, and holds transfer with a report that shows both systems agree before you flip the switch.

📆

Mid-season is fine

You do not wait for summer. Class rosters, remaining pass punches, and the league calendar move mid-season without a family noticing.

🔒

Your data stays yours

Everything you bring in, you can take out, full exports, no ransom, no per-record fees. Leaving should be as clean as arriving.

Days, not months

Most gyms run their first real billing cycle within a week of sending the export. The importer flags what it could not place instead of guessing.

Questions gym owners ask

Real questions, straight answers

See it with your own course and calendar
