for the season that runs on dues
Club dues run four figures and tryouts collect them all at once. Cadence turns one player's dues into the right shares for the right adults, on plans they pick, and the roster updates itself underneath.
Last night at your club
Installment two of six, expired card
Backup ran, notice sent, streak unbroken
Grandma funds half the dues
Her half, her card, her own invoice
A 14s family walked in January
The list moved the same hour
Thornton out before the 6:00 wave
Covered courts before doors, one approval tap
Club dues are big money. Treat them that way.
Dues are the club's whole year, collected through winter. Two households, installment plans, and a card that dies in January are the failure points. Cadence starts at those.
One player's dues, two households
Most systems attach the money to one household account. Cadence attaches it to each child's enrollment instead, so the adults who pay for her can be billed separately. Each parent gets their own invoice for their own share, pays with their own card, and does not need the other one’s login.
- ✓Dues split by percentage, by installment, or by whole fee type
- ✓A relative can fund dues directly and only dues
- ✓Every payer's authorization carries their own signature
- ✓Boosters and sponsors pay the club without touching a family's bill
A dead card at midnight, handled by morning
When a payment fails overnight, Cadence tries the backup card on file. If the other parent has agreed to cover a missed payment, their card is next in line. Everyone is told what happened before the doors open.
- ✓A bounced draft is flagged the day the bank says so
- ✓The returned-payment fee follows your written policy on its own
- ✓No family rides half a season on dues that bounced
This season sits on top of last season month by month, so the quiet stretch after championships reads as the calendar, not as families leaving.
Is the club growing?
Answered on the screen, not rebuilt in a spreadsheet every quarter.
- ✓This month against the same month last year, so seasonality doesn’t fool you
- ✓Which age group comes back for a second club season, as a rate
- ✓“Email me revenue every Monday at 8 a.m.” and it just shows up
- ✓Ask in plain English: “who dropped after their first month this year?”
Monthly money by program, littles to 18s
Each program on the schedule, its monthly figure, and the month they build together.
Demo figures, not a real club.
Tryouts end, rosters fill, waitlists move
January openings fill themselves
Rosters set at tryouts do not stay set: a family moves, a player switches clubs, and a spot opens in January. Cadence offers it to the next eligible player with a claim window, families watch their place in line, and an age rule holds the roster honest.
- ✓Position in line is visible to the family holding it
- ✓Age rules keep a 12s player off a 14s roster
- ✓A mid-season roster move leaves every invoice correct
The roster notice writes itself
An enrollment lands and the notice goes out on its own, routed by role to the club director, the head coach, and the team lead you chose. A roster snapshot rides along exactly as it stood when the notice fired, so nobody works from last month's copy.
- ✓Roles are routed once and every notice follows
- ✓The snapshot is the roster at that exact moment
- ✓Transfers and departures ride the same routing
A club season priced in full at tryouts
Dues, tournament travel, uniforms, and clinic fees are separate pools of money. Cadence keeps them that way so the number a family commits to at tryouts is the number they actually pay.
The dues sheet families sign up against
Tryout week ends with a signed number, not an estimate: registration, five tournament entries, coach travel, and gear price out per share, and the sheet each household commits to is the sheet their installment plan follows all winter. Mid-season additions reprice every share at once.
- ✓The tryout-week number is the whole winter's number
- ✓Shares price per household, plans follow per payer
- ✓A January addition flows to every plan automatically
Clinics, camps, and the beach summer
Beach mornings in June, a serving clinic in September, skills work in December, all living outside the dues and none touching the desk: post the window, the cap, the price, and the waiver, and families do the rest from their phones. Full programs quietly grow waitlists.
- ✓Off-season programs skip the desk entirely
- ✓Waivers belong to their program and collect at signup
- ✓Drop-ins and one-timers cost the club nothing
A coach out sick, three courts still staffed
A coach calls off and every court she was due on shows as uncovered, routed to whoever runs those teams.
Coach Thornton calls off before the 6:00 wave
Thornton taps call off and the director sees it the same minute, with cleared covers listed beside the gap. Option one is Mercer, cleared for 14s and free at 6:00. Option two is a swap, Beale takes Ordonez's 12s group so Ordonez can take the 14s court.
- ✓The gap and the notification happen in the same minute
- ✓Every option arrives cleared for team, checks, and hours
- ✓Send Request tells the covering coach and the teams at once
Clearances tracked to the day they lapse
A club season runs on part-time coaches and parent volunteers, and each one carries SafeSport, a background check, and whatever your region requires, dated on their profile. Anything lapsed blocks the assignment, the warning arrives weeks early, and the record shows who was cleared on any given date.
- ✓Every clearance is dated on the coach's own profile
- ✓Lapsed means blocked from the court until renewed
- ✓Cleared-on history survives season after season
The club in her pocket, the roster in his
Everyone downloads one thing. What it shows, dues, sessions, or rosters, depends on who signed in.
Families and players
Everything a parent emails the club about, sitting on her phone already.
- ✓Dues balance, installment dates, and the card behind them
- ✓Schedules for every player in the family
- ✓Absence reported, makeup requested, from the stands
- ✓Waivers and registration signed on the phone
- ✓Club gear charged straight to the account
Attendance taken at the net
Coaches and club staff
The roster and the roll at the net, no walk back to the office.
- ✓Attendance at the net, offline when the gym wifi flakes
- ✓Clock in and out at the door
- ✓Court assignments and open coverage offers
- ✓Team rosters with contacts and signed-form status
The desk work a club season generates
A camp week returned, by the book
A family pulls out of week one of beach camp and your written policy runs the numbers: the withdrawal fee lands, the rest returns as refund or credit by your setting, and every affected invoice updates itself. The desk approves it in one click, with nothing to argue.
- ✓The posted policy sets the fee, the desk just confirms
- ✓Refund or credit per program, decided once
- ✓Both households watch their invoices correct themselves
One waiver, written in three languages
Your registration packet and waiver exist once per language your families read, Chinese, Portuguese, Polish, authored by the club rather than machine-translated, and each family signs theirs. The desk sees signed against unsigned at a glance, and each account carries its language in plain view.
- ✓Each version is the club's own writing, not a machine's
- ✓Families sign the version meant for them
- ✓Signed status reads off one screen at the desk
The grandparents who need Chinese get Chinese
Real product screens in the language each person reads, decided one account at a time.
A waiver read before it is signed
Cadence translates its own screens and buttons, but not your waivers and forms. That is why Cadence has a multi-lingual form generator, so you can create your waivers in any language you need, because a parent who signs a document she couldn’t read is a document you may not be able to enforce.
- ✓She signs the Chinese waiver you created, not one a computer produced
- ✓Medical forms and photo permissions work the same way
- ✓Your terms of service stay in English, which is how they stay enforceable
Each person picks, the club sets nothing
One grandmother reads the dues invoice in Chinese. The mom next to her reads hers in English. The assistant coach runs her screens in Vietnamese. Same club, same court, nobody translates for anybody, and invoices, reminders, and the app follow each person's pick.
- ✓Every notice you send arrives in the reader’s language, from one message you wrote once
- ✓Right to left languages are laid out properly, not bolted on
- ✓The account shows the family's language before the desk says hello
Cadence has the languages clubs actually need. Nineteen and counting at launch.
Filling clinics without buying an email tool
Clubs rent an email platform for eight months a year. This is the part that ends that.
One unsubscribe can't silence dues notices
A parent who leaves the newsletter keeps getting invoices, installment reminders, and schedule changes. Promo mail and business mail are separate circuits.
Worth checking: where one opt-out mutes everything, clubs end up renting a second sender.Write club emails your own way
Your logo, your colors, your wording, assembled by drag and drop, and every automatic message editable until it sounds like your club and not a template.
A lead list that stays true
The family that came to a clinic in October is a lead for tryouts. The player who graduated in June is not. Cadence keeps the list honest from its own records.
Charge the clinic trial, credit it later
A modest fee on a first clinic credits toward dues when the player joins a team. Committed families lose nothing, and the sample-everything crowd thins out.
Push, email, text, on the club's terms
App notices and email come included. Text and WhatsApp stand ready for a court change an hour before warmups, at no cost to the family.
Which clinics convert into club players
Conversion tracked as a rate by clinic, by coach, or by time slot, from who actually stood on the court, not from attendance someone reconstructed.
Your club's history makes the move with you
Your families, enrollments, balances, and history come with you. Do it yourself with our tools, or hand it to us and we’ll do it for you.
We move the club, or you do
A guided importer if you want to drive, or hand over the export and the whole migration comes back finished, free of charge. Nothing goes live until you have looked it over.
Tryout signups don't count against you
Metering covers actively rostered players. The hundreds of tryout registrations, clinic drop-ins, and camp visitors sit outside your bill.
Worth checking: record-count pricing turns every tryout season into a tier bump.No surcharge lands on a family
The processing is where we earn, so a parent's checkout carries no extra line. Dues as posted are dues as paid.
Worth checking: free tiers often route a percentage to the family paying.Retire the separate email subscription
Campaigns and automatic messages both live inside Cadence, and both say exactly what you decide they say.
Six seasons of history, still there
Which coach had the 16s in 2023 is on record, dated. Changes accumulate as events, and nothing replaces what came before.
Dues to waivers in one login
Billing, rosters, seasons, clinics, camps, waivers, and email in one system, so the club season stops living in five browser tabs.
